Small Animal Veterinary Terms and Conditions

Client Agreement

Welcome to The Rural Vet Clinic. Please read the following terms and conditions carefully, as they set out the basis on which we provide veterinary services to you and your pets.

1. Registration and Client Details

By registering your pet with our practice, you confirm that you are the legal owner or authorised carer of the animal. It is your responsibility to ensure all contact details and pet information are kept up to date.

2. Appointments and Consultations

Appointments are required for consultations. Please arrive on time and notify us as soon as possible if you need to cancel or reschedule. Missed appointments or late cancellations may incur a fee.

3. Fees and Payment

All fees for services and products are payable at the time of consultation or upon collection of your pet. We accept payment by cash, credit/debit card, or other methods as agreed. Estimates for treatment can be provided upon request, but actual costs may vary depending on the clinical situation. We will always do our best to update you on ongoing costs.

4. Prescriptions and Medications

Medications are supplied in accordance with guidelines set out by the Royal College of Veterinary Surgeons. Written prescriptions are available upon request (£21 first medicine listed on script, £12.50 additional item). Please allow 48 hours for repeat prescriptions.

5. Insurance

Please let us know if your pet is insured and if you intend to make a claim. There is an administrative charge for completing insurance forms unless you are enrolled in our pet health plan.

Direct claim: If your claim exceeds £100, we can make a direct claim to your insurance provider. Any excesses, co-excesses, or administrative fees must be paid either during treatment or when picking up medication and we will ask that the insurance company pays us the balance. If the insurance settlement is not received within 60 days of submitting the claim, you are required to settle the account yourself and once the insurance company has paid, we will reimburse you.

Indirect claims: For claims under £100, you are responsible for paying us directly and we can either make the claim on your behalf, or you can handle the claim yourself.

6. Emergencies

We offer our own 24-hour emergency service. If your pet requires urgent attention outside regular hours, please contact us immediately.

7. Complaints

We are committed to providing a high standard of care. Should you have any concerns or wish to make a complaint, please contact the practice manager as soon as possible so we can address the matter promptly.

8. Data Protection

Your personal data will be handled in accordance with UK data protection laws. We will not share your information with third parties except as required for your pet’s care or by law.

9. Changes to Terms

We reserve the right to update these terms and conditions at any time. The latest version will be available on our website or upon request.

By using our services, you agree to abide by these terms and conditions. If you have any questions, please do not hesitate to contact us.
